Cosponsored Symposia Attendee Policies
These policies apply to the Cosponsored Symposia for which ASCO serves as the lead planning organization. If you have any questions regarding these policies or attendee conduct, please contact the staff at the registration and customer service desk onsite or at email@example.com.
The Symposium Cosponsors, our Symposium venue, and all official Symposium hotels comply with the Americans with Disabilities Act. If you require special assistance onsite, please contact the staff at the registration and customer service desk or at firstname.lastname@example.org.
Age Requirements for Attendees
Because of the detailed nature of the programs and forums, no one under the age of 18 will be admitted to any official Symposium function unless permission to such individual is granted by the Symposium Cosponsors. This includes, but is not limited to, all Symposium sessions, the Posters, Exhibits, and Food Service Room, and all evening events offered by the Symposium Cosponsors.
For security reasons, your Symposium-specific badge will be required for admittance to all events. Please wear your badge so that it can be easily seen at all times. Lost badges should be reported to the Registration staff immediately. The following badge policies will be in effect throughout the Symposium:
- The Symposium badge is the sole property of the Symposium Cosponsors.
- The badge is nontransferable.
- False certification of individuals as paid Symposium attendees, misuse of badges, any method of assisting unauthorized persons to gain access to any Symposium event, or any inappropriate or unauthorized conduct will be just cause for repossessing badges of any individuals involved and removing all parties involved from the Symposium without obligation on the part of the Symposium Cosponsors for refund of any fees.
All Symposium-specific badges are encoded with basic information about you, including your name and mailing address. Exhibitors can scan your badge to obtain that information. By giving an exhibitor your badge to scan, you are giving them consent to contact you.
The Symposium Cosponsors are committed to providing a friendly, safe, supportive, and harassment-free meeting environment, regardless of a person’s race, color, ethnicity, national origin, citizenship status, age, religion, disability status, gender, gender identity, sexual orientation, genetic information, physical appearance, or other group identity. In addition, the Symposium Cosponsors expect meeting attendees to communicate professionally and constructively, whether in person or virtually, and to handle dissent or disagreement with courtesy and respect. Finally, individuals who are part of the Symposium may not engage in any demonstrations or other behavior that the Symposium Cosponsors deem to be potentially disruptive to the conduct of the Symposium.
Violation of this Attendee Conduct Policy is grounds for immediate removal from the Symposium (without a refund of any fees paid) and/or ineligibility for attendance at future ASCO meetings or Cosponsored Symposia. Any person who is dismissed from the Symposium may request that the Symposium Cosponsors review the matter, provided, however, that such dismissal will be effective immediately and will continue until and unless the Symposium Cosponsors issue a contrary decision.
The Symposium Cosponsors reserve the right to cancel the Symposium because of unforeseen circumstances. In the event of such cancellation, the full registration fee will be returned to each registrant.
Authorization for Use of Image, Name, and Other Likeness
By attending the Symposium or entering the facility in which the Symposium takes place, you agree that the Symposium Cosponsors and/or third parties authorized by the Symposium Cosponsors may photograph or record your likeness, image, name, voice, and/or words, and may publish, display, reproduce, copy, and distribute your likeness, image, name, voice, and/or words for promotional, educational, or membership activities worldwide in all forms of media now known or later developed, including but not limited to advertising, training, websites, presentations, and marketing materials. You further acknowledge that the Symposium Cosponsors and/or third parties authorized by the Symposium Cosponsors shall have the right, but not the obligation, to identify you in connection with such media by name and/or affiliation. No royalties will be payable in connection with this authorization or these uses.
Recording (Audio, Video, and Still Photography)
Copyright of the Symposium program is owned by ASCO. ASCO reserves all rights associated with the Symposium, including (without limitation), the rights to all recordings or reproductions of presentations at this Symposium and all ASCO meetings and symposia. Any photography, filming, taping, recording, or reproduction in any medium, including via the use of tripod-based equipment, of any of the programs presented at the Symposium without the express written consent of ASCO is strictly forbidden. Exception: Non-flash photography and audio or video recording using hand-held equipment, for strictly personal, social, or noncommercial use, are permitted if not disruptive, as determined by ASCO.
No Soliciting in the Oncology Professionals Hall or Exhibits Rooms
The exhibits displayed at our Symposia give Symposium attendees the opportunity to meet with representatives from the health care industry about their products and services in a professional atmosphere that is consistent with the educational mission of the Symposium. Symposium attendees are prohibited from soliciting business from other attendees or exhibitors in these areas, unless the solicitation occurs within the specific exhibit space of the attendee.
Smoking is prohibited in all Symposium facilities, including public areas and the Posters, Exhibits, and Food Service Room. This policy will be enforced.
